The new Feeding Schedule page pulls every horse's daily feed and medication plan into one grid, Playbooks let you attach repeatable checklists to any session or series, and a platform-wide permissions overhaul ensures each role sees exactly what they should — Guardians and Participants are now properly scoped away from sensitive staff data, horse profiles, and session internals. End-date enforcement, the Absence Notification rename, and a wave of reliability fixes rounded out the release.

What's New 🐴 Barn Feeding Schedule — All Horses in One View A new Barn Feeding Schedule page at /horses/schedule shows every horse's daily feed, supplements, grain, and medication in a single grid, organized by meal. Entries are expandable and collapsible on mobile so the page stays usable in the barn. Previously this information lived only on individual horse profiles and had to be checked one horse at a time. Use it when: You're prepping feed for the day and need a quick checklist across all horses without bouncing between profiles. 📋 Playbooks — Repeatable Checklists for Sessions and Series Playbooks are ordered, reusable step-by-step checklists that can be created at the org level and attached to any session or series. Each step is editable inline, steps can be reordered by drag-and-drop (including on mobile), and playbooks are scoped to your organization so nothing leaks between orgs. Available to Admins and Managers. Use it when: You have a standard pre-session prep routine, a vet visit protocol, or any repeatable process you want staff to follow consistently without recreating it each time. 🔖 Shift Joining Now Matches Your Role Tags Volunteers browsing the Dashboard no longer see every understaffed shift — they only see open spots on shifts that have a matching role tag to their own assigned tags. If a session is short on a role the volunteer doesn't hold, it stays off their radar. Previously, all understaffed sessions appeared regardless of fit. Use it when: You want volunteers to self-assign to shifts they're actually qualified for, without coordinators having to filter manually. 🔒 Platform-Wide Permissions Hardening A new permissions manifest now governs every area of the platform. The rules in brief: • Participants & Guardians — dashboard (own sessions only), photo feed (own sessions), messages (own channel), and settings (own profile). No access to the sessions list, session detail, people, horses, or any person/horse profile pages. Notification "view" buttons are hidden for destinations they can't reach.

• Member + Volunteer — can see their own assigned shifts in session detail but not other sessions. Horse list is visible; horse detail is not. People list is visible; person detail is not. Other people's names appear abbreviated (First name, last initial only).

• Member + Staff — view access to sessions, session detail, horses, people, and person profiles. Can mark attendance and add notes. No edit or delete.

• Managers — full edit access across all areas, all message channels, and all org data. No billing or integrations.

• Admin — full access including billing, integrations, and org settings.

Use it when: You're adding a Guardian or Participant account and want assurance that staff records, horse data, and session internals are out of reach by default. 📅 End Dates Now Visible on Profiles and Enforced on Rosters A person's Last Day (formerly "End Date") now appears prominently on their profile page without needing to open edit mode — displayed as a styled badge inline with their account status. More importantly, end dates are now actively enforced during series top-up, meaning someone whose last day has passed will no longer be automatically re-added to future sessions in a recurring series. Use it when: A participant or volunteer has a known last day at the barn and you need the platform to stop scheduling them past that date automatically. Improvements • "Absence Notification" replaces "Personal Holiday": The time-off request feature has been renamed throughout the platform. Volunteers and participants notify the barn they'll be away — they don't request time off — so the language now reflects that. Statuses read as "Received," "Confirmed," and "Unconfirmed" instead of the previous approval/denial framing.

• Care log entries show who added them: Each care log entry now displays the name of the staff member who created it, both on the horse profile and in related notifications.

• Holiday notifications include dates and name: Approval and confirmation notifications for Absence Notifications now include the full date range of the absence and show the requester's first name and last initial.

• Recurring series section on person profiles: All person type profiles (staff, volunteer, participant) now have a dedicated Recurring Series section that surfaces series assignments above attachments and defaults to expanded, making it faster to see what recurring commitments a person holds.

• Series indicator on session rosters: Volunteers who are part of the recurring series are now marked with a recurring symbol next to their name on the individual session roster, so coordinators can tell at a glance who's a regular and who joined just this session.

• Series assignment notifications include recurrence details: When someone is added to a recurring series, the notification card now includes the session time, date, and recurrence pattern — not just the series name.

• @all mention in Messages: Admins and Managers can now type @all in any channel to notify all members in that channel at once.

• Image uploads in Messages: Photos can now be attached directly in the message composer and sent inline in any channel conversation.

• On Property filters absent members: People who have been marked absent from a session no longer appear in the On Property section. Their role tags are also now displayed for staff and volunteers who are on property.

• Non-destructive volunteer self-leave: When a volunteer removes themselves from a session they had already joined, they are now marked Absent rather than deleted from the roster entirely — preserving the attendance record.

• Org name truncation improved: Long organization names in the sidebar and top nav now fade out gracefully instead of overflowing or wrapping awkwardly.

• Notification for Absence Notification review links to the request: The "Review" action in Absence Notification alerts now navigates directly to the absence request, not to the requester's profile.

Fixes • Fixed a person with an end date still appearing on session rosters and their own profile's session list for sessions scheduled past that date.

• Fixed a horse remaining assigned to a session after its linked participant was removed from the roster.

• Fixed staffing status showing inconsistently between the volunteer dashboard view ("2 people needed") and the manager/admin view ("Fully staffed") for the same session.

• Fixed volunteer counts on sessions not reflecting current attendance status — absent volunteers were still being counted toward the staffed total.

• Fixed linked guardians not auto-populating when a participant was selected in the assignment form.

• Fixed availability tags overflowing and breaking the layout of person cards on the /people list — availability is no longer shown on list cards.
