What's New in 24Trots: Leads, Photo Albums, Horse Rest Planning, and Hours Reporting

Leads introduces public application Forms and an inbox for reviewing applicants. Standalone photo and video albums, horse rest planning, personal calendar subscriptions, and People hours reporting join a set of improvements to Timekeeping, reminders, navigation, and account signup.

What's New Leads: Public Application Forms Admins can now build and publish application Forms for prospective Staff, Volunteers, Participants, or Guardians. Add questions and map answers to profile fields so applicant information can carry into the invitation process without being entered again. Share a direct link, display a QR code, or embed a Form on your website so people can apply without a 24Trots account. Preview the applicant experience and save changes as drafts before publishing them to the live Form. Use it when: You want one clear place for prospective Volunteers to apply, or need a separate intake Form for new Participants. Availability: Leads add-on — $29/month with a one-time 24-hour trial. Leads: An Inbox and Clear Next Steps The Leads inbox brings applications together with status filters and each applicant's submission history. Use Gates to review an application and choose its next step: send an email, direct the applicant to another Form, waitlist, decline, or invite them to join your organization. Accepted platform invitations update to Joined, making it easier to distinguish an invitation from a completed signup. Admins manage Leads by default and can enable Manager access in Settings → Leads. Use it when: You need to follow an applicant from their first Form through additional information and an invitation, without losing track of what happened along the way. Subscribe to Your Personal Schedule From Settings → Sync to Your Calendar, generate a personal subscription link for your scheduled sessions. Add it to Google Calendar or Apple Calendar using the provided buttons, or copy the link into Outlook or another compatible calendar app. Your calendar checks the subscription for updates rather than relying on a one-time download; allow time for changes to appear. You can remove the link from Settings if you no longer want that subscription to update. Use it when: You want your barn shifts or assigned sessions alongside the rest of your personal calendar. Horse Rest Planning That Updates the Schedule Admins and Managers can set a horse's rest dates from its profile and preview the upcoming sessions affected before saving. 24Trots removes the horse from affected future assignments while keeping the Participant on the roster, so a replacement can be assigned. Rest dates and availability warnings make restrictions clearer on roster cards, and new assignments respect those restrictions. An in-app reminder prompts a review when the rest period ends—you decide when to return the horse to Active. Use it when: A horse needs a week off and you want affected lessons to reflect that immediately, without removing the riders or automatically returning the horse to work. Photo and Video Albums Beyond Individual Sessions The Photo Feed now supports standalone albums, so shared memories no longer need to belong to a specific shift or lesson. Create an album for a showcase, fundraiser, or barn event and upload photos or MP4/WebM videos together. Where your organization's Photos & Media settings allow it, Staff and Volunteers can contribute too. Admins and Managers can manage albums, and creators with upload access can edit their own. Use it when: Your team has photos and videos from the spring showcase and needs a shared place to collect them without creating a session just for uploads. Availability: Requires your organization's Photos & Media access and the appropriate viewing or upload permissions. People Hours Reporting Admins and Managers can open Reporting from the People page to review session assignment hours by person. Choose a date range and narrow the report by person type, session type, or Role Tag, with search and sorting to find the people you need. Attendance affects the hours counted, and overlapping assignments count only once in a person's total. This is session-based reporting—not clocked Timekeeping hours or payroll. Use it when: You need to check a Volunteer's accumulated session hours for a service-hours request or review how much time your team has contributed over a season. Improvements • Timekeeping Role Tags and notes: Staff and Volunteers can label time entries with the relevant Role Tag and add notes, giving reports more context than a duration alone.

• Dashboard time corrections: After clocking out, edit both the clock-in and clock-out times for completed entries, including separate clock cycles on the same day when permitted by your organization's settings.

• Clearer overlap warnings: Timekeeping flags conflicting entries and links Dashboard warnings to the timesheet so you can review the conflict.

• Backdated time entries: Clearly marked Backdated entries keep the actual work date while recording the correction in the appropriate tracking or pay period.

• Calendar date retention: Returning from a session takes you back to the date you were viewing instead of resetting the Sessions calendar to today.

• Remembered filters: People and other supported list filters stay selected when you open a record and return; preferences are saved in the browser you're using.

• Dashboard view preference: Admins and Managers no longer need to reselect All, Mine, or Open every time they return to the Dashboard.

• Staff and Volunteer profile changes: Changing between these person types clears the old profile Role Tags and prompts for suitable new ones without rewriting existing session assignments.

• Faster access to organization settings: The profile menu now includes an Org Settings submenu with the sections available to your role and active add-ons.

• Personal settings shortcuts: The profile menu provides direct links to areas such as Holidays, Agreements, and calendar settings.

• Billing reminders: Admins receive alerts when a trial is nearing its end or a subscription payment fails, with a link to review billing.

Fixes • Fixed the Sessions calendar stopping at an earlier date instead of loading older sessions as you navigate backward.

• Fixed session reminders being sent to people marked Absent or No Show for that session.

• Resolved signup-match approval failures that could prevent an Admin from linking a new account to an existing profile.

• Fixed signup matching interfering with credentials already activated through an invitation.

• Fixed Messages scrolling that could move you away from the conversation you were reading; loading older messages now keeps your place.

• Resolved expired feeding-item notifications repeatedly returning after they had been read or cleared; each expired item now triggers its notification only once.
