The Dashboard now shows who's on property in real time, Messages got voice recording and transcription, and a full in-app notification system launched — covering everything from session assignments and holiday requests to mention alerts and horse feeding reminders. Clinical records, horse profiles, and participant contact info all got meaningful upgrades too.
What's New 🏠 On Property — See Who's at the Barn Right Now A new On Property section on the Dashboard shows everyone currently signed in, who's arriving in the next 30 minutes, and who's wrapping up soon. Each person is listed with their role badge and links directly to their profile. The count stays accurate in real time as people check in and out. Use it when: You're coordinating a busy session and need a quick read on who's already at the barn versus who's still on their way. 🎙️ Voice Notes & Transcription in Messages The Messages composer now has a voice note button. Tap to record an audio clip — it compresses and stores automatically. Voice notes appear in the chat stream with a play button and a scrubbable timeline, just like a modern messaging app. A separate transcribe button converts spoken audio into text if you'd rather type. Both features live in a one-tap expand menu next to the composer so they stay out of the way until you need them. Use it when: You're at the barn with your hands full and need to leave a quick message for the team without stopping to type. 🔔 Full In-App Notification System 24Trots now has a complete notification system covering session assignments, reminders, cancellations, holiday requests, guardian link requests, @mentions, horse feeding expiry, and role changes. Notifications appear as real-time toast alerts when you're active, or queue for your next login — and every type also sends a companion email. A dedicated Notifications page shows all your alerts with read/unread state, and Admins can approve holiday requests, approve link requests, or promote a user's role directly from the notification card without navigating away. Use it when: You want your whole team informed automatically — Volunteers notified when they're added to a session, Managers seeing holiday requests without checking email, Admins alerted when a horse's feeding schedule has lapsed. 📧 Multiple Emails per Participant Participant records now support additional notification emails with a name and relationship label (e.g., "Mom – keane@example.com"). When sending an email blast to Participants, all additional emails are included automatically — no extra steps. Additional emails are also imported via the people importer. Use it when: An adult participant wants schedule updates, but a parent or guardian also needs to be CC'd on everything. 🌾 Horse Feeding Schedule Each horse profile now has a structured Feeding Schedule that replaces the old free-form diet and medication text box. Hay, grain, supplements, and medications are tracked in a grid across AM, Lunch, and PM meal slots. Supplements and medications support per-item day-of-week scheduling (e.g., "Mon/Wed/Fri") and an end date — expired items are flagged visually and trigger an automatic notification to Admins and Managers. Items can be reordered or moved between meal slots with drag-and-drop. Use it when: You're preparing weekly supplement bags, verifying a horse's medication schedule, or checking whether any treatments have lapsed. 🗑️ Recursive Series Delete You can now permanently delete a recurring series and all of its sessions in one action from the Series Detail page. A confirmation dialog lists what will be removed before anything is deleted. This is a permanent action and cannot be undone. Use it when: A program is being retired and you need to remove it and all its scheduled sessions cleanly from the calendar. 📋 Clinical Field Last-Updated Timestamps Weight, Height, and Diagnoses on Participant records now each show a "Last updated" date so staff can see at a glance how current the information is. The timestamp updates automatically whenever the field is saved. Use it when: You need to know if a rider's weight was recorded recently enough to trust it for horse-matching, or if it's overdue for a check. Improvements • TODAY badge on session headers: Sessions happening today now show a prominent TODAY badge next to the date in the session detail header so it's instantly clear when you're looking at a current-day session.
• Session duration on edit forms: Both the Session Detail and Series Detail edit forms now display a live duration indicator (e.g., "1 hr 30 min") so you can see the session length at a glance without doing the math.
• Role-change refresh banner: When an Admin changes a logged-in user's role, a lightweight banner now appears at the top of their screen prompting them to refresh. The new role is enforced immediately on the server, and this makes sure the UI catches up right away.
• AI agent — current sessions awareness: The AI agent can now see which sessions are actively happening right now, so it can answer questions about today's roster, assignments, and attendance without needing to be told the date and time.
• AI agent — runs while panel is closed: The AI agent now continues processing and thinking even when the chat panel is minimized. Responses are waiting when you open it back up, so you don't have to keep the panel open while it works.
• QOL updates for Horse & Person detail pages: A round of quality-of-life improvements across horse and person profiles and their edit views — cleaner layout, better field grouping, and more consistent edit interactions on mobile.
• Photo feed for work shifts: Work shift sessions now support photo sharing. A new Photo Feed appears on the Dashboard for Staff and Volunteer viewers, scoped to sessions they're assigned to.
• Notification deep links: Notification cards link directly to the relevant person profile, session, or content — no hunting required after tapping a notification.
• Guardian profile access from notifications: Guardians who receive a notification about a linked participant can now navigate directly to that participant's profile from the notification card.
Fixes • Fixed AI agent session visibility gaps where the agent couldn't see all sessions it should have access to.
