What's New in 24Trots: Team Captains, Smarter Series Editing, and a Cleaner Roster

A new Team Captain role lets trusted volunteers manage attendance on your behalf, series edits got a lot smarter about which sessions they touch, and rosters, cancellations, and chat all got a round of polish and fixes.

A new Team Captain role lets a trusted Volunteer or Staff member take attendance and manage tack without full Manager access, series and session editing got smarter about only touching what actually changed, and cancelled sessions now behave the way you'd expect. Rosters, chat, and the new session wizard also got a big round of clarity and polish.

What's New 👑 Team Captain Role You can now designate a Volunteer or Staff member as Team Captain for a specific series directly from the Series Detail page. A Team Captain can update attendance (present, absent, no-show, left early) for Participants and Volunteers, and update default tack for a Participant or horse — without needing full Manager access. A confirmation dialog (with a gold crown) appears both when granting and removing the role, so it's never accidental. Use it when: You have a reliable Volunteer who runs the lesson board each week and needs to mark attendance and adjust tack on the spot, without handing them a Manager account. 🐴 Horse-Only Rosters for "Other" Sessions "Other" type sessions (farrier visits, vet checks, etc.) can now have horses added directly to the roster, the same way you add Volunteers or Participants — useful for events that involve multiple horses but no Participants. The Participants section no longer appears on "Other" sessions, since that use case is already covered by the Lesson session type. Use it when: You're scheduling a farrier or vet visit that covers several horses in one session. 🔁 Preview Changes Before Editing a Recurring Series Editing a recurring series pattern (days, times, or dates) now shows a preview of exactly which upcoming sessions will be affected before you confirm the change. Edits only touch the sessions that are actually impacted — sessions outside the affected date range are left completely alone, preserving their existing roster and details. Use it when: You're adjusting a series schedule and want to be sure you're not accidentally disturbing sessions you didn't mean to change. 📅 View All Sessions in a Series from Session Detail Anyone on a session's roster can now see the full list of past and upcoming sessions in that recurring series directly from the Session Detail page — the same session history view that was previously only available on the Series Detail page. Use it when: You're looking at a single session and want to jump to a different date in the same series without navigating back to the series page. 🚫 Smarter Session Cancellations Cancelling sessions as part of an organization holiday now lets you toggle individual sessions to stay active instead of being cancelled — useful when only some session types (like Barn Crew work shifts) should still happen during a break, while others (like lessons) are cancelled. Cancelled sessions can also be reinstated more reliably if cancelled by mistake. Use it when: You're setting up a holiday closure but a work shift still needs to run, or you cancelled the wrong session and need to bring it back. 🕐 Set Custom Hours for a Single Session You can now set custom work hours for a Staff member or Volunteer at the individual session level, separate from their series-wide schedule. This is shown with a distinct badge so it's clear when a session has a one-off hours change. Use it when: A Volunteer normally works a full 1–5pm shift but has a doctor's appointment one week and is only available 2:30–5. 📝 Series-Level Notes for Participants You can now add a note to a Participant's assignment at the series level — useful for information the lesson team needs every time that Participant rides (special equipment, sensory preferences, etc.). Use it when: A rider needs their own lead rope or doesn't like to be touched, and the whole lesson team needs to know every week. Improvements • Duplicate roster prevention: People can no longer end up assigned to both the series level and a single session at the same time — an indicator now shows when someone's hours or details have been customized for a specific session.

• On-shift suggestions go to the right spot: Adding a suggested Volunteer or Staff member from the on-shift suggestions now places them directly into the correct role group (Leader, Sidewalker, etc.) instead of dropping them into "Other" first.

• Attendance defaults apply going forward: Turning on "Default attendance to Present" now applies to all future sessions right away, not just the next day.

• Attendance layout: Attendance buttons on person cards now fit on a single line, and "Left Early" no longer wraps awkwardly to its own row.

• Chat name display: Online user names in chat no longer get cut off, and avatars now display correctly for people who are online.

• Clearer skill and weight tags: Participant and horse skill-level and weight tags now use consistent, plain-language labels, and clearly flag missing data.

• Roster hover preview: The "hover to see who's in a lesson" preview now separates horses from people for easier scanning.

• Tack edits from a session apply forward: Editing tack from a Session Detail page (for a session in a series) now applies to that session and all future sessions in the series, without changing the Participant's or horse's default tack.

• New session wizard clarity: Session type descriptions in the new session wizard are shorter and clearer, and each type now shows which roles (Staff, Volunteer) are eligible.

• Custom Hours/Dates as dialogs: The Custom Hours and Custom Dates panels now open as dialogs instead of popovers, fixing cases where they wouldn't open reliably.

• Height field for Participants: Participant records now include a Height field alongside Weight, to help match riders with the right horse.

• Sidebar avatars: The sidebar now uses the same avatar system as the rest of the app for consistent photos and initials.

• User role visibility: Staff and Volunteer cards now show their system role in parentheses next to their person type (e.g. "Keane Angle · Volunteer (Admin)"), so it's clear who has elevated access.

• Role tag management: Role tag edit and delete buttons now appear correctly on mobile in Settings.

Fixes • Fixed a bug where invites appeared to send successfully even when organization-wide emails were disabled, and added a guard to prevent this going forward.

• Fixed sessions where Staff couldn't be added to an individual session despite an open spot existing at the series level.

• Fixed a series top-up issue where new sessions in a series were missing quota rows, causing them to show as fully staffed when they weren't.

• Fixed newly created recurring series not showing Volunteers on their individual sessions.

• Fixed duplicate Participant, Staff, and Volunteer rows appearing when a series roster propagated to its sessions.

• Fixed an issue where adding a Volunteer to the Sidewalker group at the series level incorrectly placed them in the Leader group instead.

• Fixed a data import issue where people with a preferred name were being created as duplicate records.

• Fixed a stale roster cache that could show outdated session assignments.

• Fixed alignment and inconsistent wording on horse and Participant tags in the assignment view.

• Fixed an extra, redundant attendance badge showing on Participant-horse cards.

• Fixed the Participant horse card layout on mobile devices.

• Fixed a "failed to update person" error when saving role tags on a person's detail page.
