What's New in 24Trots: Timekeeping, Self-Service Account Security, and a Redesigned Sessions Calendar

Staff and Volunteers can now clock in and out with full pay period tracking. Plus self-service password resets, a redesigned Sessions calendar, recurring email blasts, flexible messaging channels, and guided setup for new organizations.

Timekeeping brings clock in/out, pay periods, and hours reporting to the platform for the first time. Alongside it, users get self-service password resets and email changes, the Sessions page splits into Calendar and List views, email blasts support recurring schedules, messaging channels are more flexible, and new organizations get a guided setup wizard that can import existing people, horses, and schedules.

What's New ⏱️ Timekeeping: Clock In, Clock Out, and Pay Period Reports Staff and Volunteers can now track their hours right from the Dashboard. A new clock card lets them clock in and out, shows live status and duration, and totals the day's minutes automatically. The Timekeeping page lists all of a person's entries grouped by day with daily and pay-period totals, lets them browse up to 60 prior periods, add a past entry by hand, and edit or delete entries in the current, still-open period. Hours from assigned sessions can sync in automatically instead of requiring a manual entry. Admins and Managers control all of it from Settings: turn clocking on or off separately for Staff and Volunteers, choose whether clock-in is restricted to a session's scheduled window or always available, set how early clock-in opens and how long after a session ends logging stays open, and configure a "still clocked in" reminder with an automatic clock-out safeguard. Pay periods (weekly, biweekly, semimonthly, or monthly) are configured separately for Staff and Volunteers, and individual people can be exempted from tracking entirely. A dedicated Timekeeping Report page (Admin/Manager only) shows total hours per person for a selected pay period. Use it when: Your Volunteers need to log hours for a monthly report, or you want Staff clock-ins locked to their scheduled shift times so hours stay accurate automatically. 🔐 Account Security: Reset Your Password and Change Your Email Users no longer need an Admin's help to recover a forgotten password or update their email. From the Login page, "Forgot password?" sends a reset link that expires after an hour. Signed-in users can change their email from Account & Security by confirming their current password and verifying a code sent to the new address. Both the reset and change-password forms show a live checklist of password requirements (length, uppercase, lowercase, and a number or symbol) as you type. Use it when: You forgot your password and need back in without waiting on an Admin, or you've switched email addresses and need your account updated. 📅 Sessions: Switch Between Calendar and List Views The Sessions page now defaults to a true Calendar view, with a toggle to switch back to the familiar List view (All, Series, and One-time tabs, search, and filters all still work as before). The calendar supports single-day and 3-day modes, a date picker, Today and prev/next navigation, and remembers your preferred view. It adds zoomable time scale, sticky date headers, a current-time indicator, side-by-side blocks for overlapping sessions, holiday banners, and indicators for recurring sessions and staffing status, with your view and staff-display preferences saved for next time. And newly added filters and visible staff tags: Use it when: You want a week-at-a-glance view of what's scheduled instead of scrolling a list, or you need to quickly compare staffing across overlapping sessions on the same day. 🔁 Recurring Email Blast Schedules Admins can now set up an email blast to send automatically on a repeating schedule instead of composing and sending it every time. A new Recurring tab on the Email Blasts page lists each schedule's subject, cadence (weekly or monthly), recipients, status, and next send date, with options to edit, pause, resume, or cancel. Blasts generated by a schedule show up in the main Blasts list alongside one-off sends and link back to the schedule that created them. Use it when: You send the same volunteer shift digest every week and want it to go out on its own instead of remembering to compose it each time. 💬 Flexible Messaging Channels Admins and Managers can now build channels around specific people instead of only role-based groups — pick individual Staff and Volunteers to include, rename the channel, and add or remove people later as needed. Group and one-on-one direct messages are also available for quick conversations outside a named channel. A built-in "Talk to the 24Trots team" conversation gives every organization a direct line for support questions. Use it when: You need a channel for just the volunteers covering Saturday shifts, not your entire volunteer roster, or want to message one Staff member directly. 🧭 Guided Setup for New Organizations Organizations signing up through a beta invitation now walk through a guided onboarding wizard when their Admin account is created. It can import existing people and horses from a file, with automatic matching against records already in your organization (by email or name) so nothing gets duplicated. It can also import your existing schedule directly from Google Calendar — you choose which calendars to pull from and review every event and recurring pattern before anything is added. Use it when: You're moving your program onto 24Trots and already keep your roster in a spreadsheet and your schedule in Google Calendar. Improvements • Printable barn feeding schedules: The Barn Feeding Schedule page can now generate a clean, print-ready PDF for a single day or a full week, honoring your feed-type filters, for posting in the barn.

• Roster and quota activity log: Session and series detail pages now include an Activity Log panel (for Admins with access) showing who added or removed a Participant, Staff member, or Volunteer, and when.

• AI Agent manages full feeding schedules: The AI Agent can now read and update a horse's complete feeding schedule — hay, grain, supplements, and medications — instead of only part of it.

• Profile completeness indicator: Settings now shows a quick summary of whether your profile is complete, with a progress bar toward any required fields still missing.

• Clearer Permissions section: The "Person Profile Permissions" section in Settings is now simply labeled "Permissions."

• Corrected signup match requests: Someone whose account request is still pending can now go back and fix their submitted information themselves, instead of the correction creating a second, duplicate request.

Fixes • Fixed open shifts not appearing for Volunteers trying to self-join a session.

• Fixed sessions from an ended series still appearing on the calendar and list past the series' end date.

• Fixed a flicker when filtering sessions by type.

• Resolved on-property status incorrectly appearing for Volunteer-as-member and Participant accounts; it's now visible only to Staff and management as intended.
